RAI works with hotels in order to be able to offer you ideal overnight accommodation when you visit an event. If you use RAI’s Hotel Services, we process your personal data in order to arrange your stay in a hotel.
Another reason why your personal data may be processed is if you have booked a table in one of our restaurants or other catering establishments.
Execution and handling of agreements
RAI processes your personal data when you approach us - whether or not through our booking system - to make hotel reservations. This concerns name and address details, contact details such as telephone number and email address, credit card details and reservation details. RAI processes this data for the performance of the underlying contract, for communication for the purposes of this contract (with regard to the reservation) and for the improvement of our services. RAI also processes these personal data for administrative purposes, for calculating and recording income and expenditure, for invoicing and payment purposes, for resolving payment and other disputes and for arranging the performance of audits. RAI relies on the legal basis that the processing of personal data is necessary for the performance of the contract or its legitimate interest to be able to provide and improve the service.
Marketing and sales
We use the personal data you voluntarily provided to us at the time of your booking to contact you for similar services. RAI relies on the legal basis that it has a legitimate interest.
(Market) research and surveys
Sometimes we ask you to participate in an evaluation, survey or customer satisfaction survey. In that case, we process your (company) name, contact details and your answers to the survey or research questions. RAI bases this on its legitimate commercial business interests to help customers and improve the quality of our business operations, services and offers, including by conducting surveys. We can also use your answers to approach you for marketing or sales purposes (see marketing and sales).
Finally, in some cases, we need to use your information to handle and resolve legal disputes, for regulatory investigation and compliance purposes, or to comply with lawful requests from law enforcement authorities. RAI relies on compliance with legal obligations or legitimate interest.
In providing Hotel Services, RAI makes use of the services of other parties such as the supplier of the booking system. Personal data are also disclosed to the hotels at which the overnight stays are booked.
Situations may also occur in which we have a statutory obligation to disclose your personal data to third parties. For example, the police or the municipal authority may require us to supply data.
